Home --- Topics --- February 2023 8th issue: Three points of business communication
In business communication, there are three points to be aware of. The success or failure of a business depends greatly on whether or not these three points are firmly held down. The importance of communication is increasing more and more, such as customer service and sales, building an internal team, building relationships with suppliers and local communities, and international exchange. The three points of business communication are contact frequency, favorability, and deep information exchange.
"Contact frequency" is the degree of repeated contact. Many people tend to be wary of someone they meet for the first time, but after meeting them a few times, they tend to become more comfortable with them. It is often the case that even if you try to sell someone at the first meeting and fail, it will be successful if you try to sell them the second time you meet.
For example, if you are serving customers for the first time at a store, they may not like you if you suddenly talk to them persistently. Sales clerks who are good at sales only make a few phrases at the first contact, and let them walk around the store freely for a while. Then, when the time is right, clerks will try to talk to them again. The second time they talk to them, they will be more open and easier to sell to than the first time.
"Frequency of contact" does not mean that more is better. If you contact people too persistently many times, they will hate you. However, if you leave them alone for a long time, their hearts will go away. Frequent contact with good timing is to attract the others' hearts.
Favorability is the degree to which someone likes you. It is no exaggeration to say that the purpose of communication is to get the other person to like you. In order to increase favorability, it is effective to attract interest, to do something that makes the other person want to support, and to be kind and secure. Also, it is important to value the first impression, wear something that sparkles, and say something that the other person is interested in, not what you want to say. In addition, using good words and avoiding bad words is a key point in increasing favorability.
"Deep information exchange" means sharing "only here stories" and "secrets only for two people". By exchanging in-depth information, you can turn a mere business relationship into a "special relationship" for the other party. You don't have to expose all of your private life, but if you can exchange information in depth that makes the other person feel that you have a "special relationship", you can do business quite advantageously.
The three points of business communication greatly affect the success or failure of a business. It is important for businessmen to understand the importance of these three points without neglecting them, and to put them into practice.
